Role Summary

The Executive Assistant provides administrative and technical support to the General Manager. The Executive Assistant acts as a liaison and coordinator for in house customers and vendor visitations and maintains statistical reports. The Executive Assistant provides typing and clerical support to the General Manager and answers the telephone calls for the General Manager and Assistant General Manager. The Executive Assistant maintains the schedule for the General Manager. The Executive Assistant participates in Management meetings and provides minutes and documentation of the meeting. The Executive Assistant is responsible to ensure that the Customer, People, and Investor goals are balanced and met.


**The successful candidate for this role will work at our new Magna Structures Heart Lake facility located in Brampton, ON**

Key Responsibilities

• Responsible for auditing all expense reports and assures compliance with the Drive policies and procedures
• Provides typing and clerical support to the General Manager
• Answers the telephone calls for the General Manager and Assistant General Manager.
• Maintains the schedule for the General Manager.
• Participates in Management meetings and provides minutes and documentation of the meeting.
• Provide support for the General Manager and Assistant General Managers.
• Coordinate luncheon meetings and other activities supporting client and vendor visitations.
• Support customer relations and handles correspondence in English or German as required.
• Organize business trips for the entire company and controlling Travel Agency invoices.
• Check expense reports and assure compliance with Drives policies and procedures.
• Attend Management meetings.
• Perform other duties as required.

Key Qualifications/Requirements


Associate’s Degree (A.A.) or equivalent from two year college or technical school


1 to 3 years related experience and/or training; or equivalent combination of education and experience.


Communication Skills

• Reading, analyzing and interpreting general business periodicals, professional journals, technical procedures, and or governmental regulations.
• Writing reports, business correspondence, and procedure manuals;
• Presenting information and responding to questions from groups of managers, clients, customers, and the general public;
• Leading discussions, meetings, presentations and forums;
• Communication free of vulgarity, profanity, hearsay and menace in spoken, written and published form;
• Electronic Communication Means (telephone, fax, video conferencing, web conferencing, etc.);
• The main language proficiency shall be in the English language with a Grade Level greater than 12.

Mathematical Skills

• Mathematical concepts such as probability and standard inference, and fundamentals of plane and solid geometry and trigonometry;
• Concepts such as fractions, percentages, ratios and proportions;
• Standard Costing Techniques;
• Financial transactions and concepts;
• Metric and imperial measurement systems;
• Statistical analyses.

Reasoning Ability

• Specification and Problem definition, data collection, fact determination, drawing valid conclusions, and formulating clear recommendations
• Quick interpretation and formulation of argument, counter opinion and factual statement for negotiation conclusion;
• Simultaneously deal with several abstract and concrete variables.
